    Important to know

    For Estonian companies engaged in cross-border e-commerce, compliance with EU VAT regulations is crucial. The place of supply of goods is determined by the location of the goods at the time of delivery.

    For example, if an Estonian company sells on the Amazon platform and the goods are located in a warehouse in Germany or the UK, it must be registered for VAT in both countries.

    We offer registering your Estonian company as a VAT payer in the following countries:

    • Estonia
    • Germani
    • UK

    Estonian companies that sell goods to consumers in EU member states on Amazon or on their own websites using the Woocommerce and Shopify platforms are required to register for VAT if total sales to other member states exceed 10,000 euros.

    This means that a company must register for VAT in Estonia and comply with the VAT regulations of the other Member States where they sell their goods. Once registered, companies must ensure that they comply with the VAT regulations of each Member State where they sell their goods.

    The VAT obligations of other Member States are fulfilled through the OSS special scheme. This scheme allows companies to declare and pay all VAT through the Estonian Tax and Customs Board, simplifying the VAT compliance process for companies selling goods in several Member States. For small sellers, the OSS special scheme can be a cost-effective and efficient way to comply with VAT rules in several Member States. By registering for VAT and fulfilling their VAT obligations through the OSS special scheme, Estonian companies can ensure compliance with the VAT regulations of other Member States and avoid costly penalties.

    How the Accounting Service Fee Is Calculated

    The price of accounting services is primarily based on the monthly workload, which is determined by the number of accounting entries per month and any additional services requested by the client.

    Accounting entries include all data processed in bookkeeping, such as purchase invoices, sales invoices, bank statement lines, and similar items.

    • For non–VAT registered clients, typically 1 document = 2 entries
    • For VAT registered clients, typically 1 document = 3 entries
    • 1 bank statement line = 2 entries

    Additional services include all tasks that are not part of the regular monthly bookkeeping (e.g. payroll accounting, preparation of reports, special assignments, etc.).

    Example price for a non–VAT registered client

    25 bank statement lines, 3 sales invoices, 22 purchase invoices, no payroll.

    • 25 bank statement lines × 2 entries = 50 entries
    • 3 sales invoices × 2 entries = 6 entries
    • 22 purchase invoices × 2 entries = 44 entries

    Total: 100 entries per month

    Base fee calculation:

    • up to 63 entries are included in the minimum fee → 49 €
    • remaining entries: 100 − 63 = 37 entries
    • 100 entries fall into the 64–150 range → 0.70 € per entry

    Additional amount:
    37 × 0.70 € = 25.90 €

    Total base fee: 49 € + 25.90 € = 74.90 € (+ VAT)

    Example price for a VAT registered client

    70 bank statement lines, 15 sales invoices, 55 purchase invoices, 2 employees (payroll accounting adds 40 entries)

    • 70 bank statement lines × 2 entries = 140 entries
    • 15 sales invoices × 3 entries = 45 entries
    • 55 purchase invoices × 3 entries = 165 entries
    • payroll entries and taxes = 40 entries

    Total: 390 entries per month

    Base fee calculation:

    • up to 63 entries are included in the minimum fee → 49 €
    • remaining entries: 390 − 63 = 327 entries
    • 390 entries fall into the 301–500 range → 0.60 € per entry

    Additional amount:
    327 × 0.60 € = 196.20 €

    Total base fee: 49 € + 196.20 € = 245.20 €

    Payroll service:
    2 employees × 8 € = 16 €

    Total service fee: 261.20 € (+ VAT)
